  • Design a recap sheet based on your monthly calendar (figure A). Once a month (on the same day each month), look at your family's calendar to see what went on. For example check for birthdays, trips, soccer games, etc., then transfer those events to your recap sheet. It can be very helpful when the time comes to write your family's holiday letter.

  • Store your recap forms in a file system such as a small, portable, plastic filing cabinet. Use color-coded folders to separate family files from friends' files (figure B).

  • Use a three-ring binder with tabbed dividers and sheet-protector pockets (figure C) as a smaller version of the filing cabinet.

  • Include folders in the filing cabinet with names of specific people with which you would like to keep in touch. Recap what you have written to them in past correspondence on a manila folder. Keep the letters that they have sent to you in this folder as well.

  • This is also a great system for children with pen pals.

  • Label pocket folders in a magazine holder for storing family photos and magazine articles until you are ready to send them.

  • For those people that you only correspond with once in a great while, keep their information and highlights on color-coded index cards in an index-card box that is separated with dividers.

  • The key is to keep these storage units in a very accessible area of the home. Otherwise, you may never bother to do it.
